FESTICO / PRACTICAL GUIDE

Event engagement: connect attendees, experiences and sponsors

A festival brings together moments, places and partners. A digital journey can connect them while keeping the event itself centre stage. Here is a practical approach to participation, validation and reporting for organisers and sponsors.

01

Start with the attendee experience

Before choosing points or rewards, identify what is worth discovering on site: an activity, a partner space or a demonstration. Each step needs a clear reason to take part. Keep the journey optional, understandable and compatible with the event’s rhythm. People should be able to enjoy an individual moment without having to finish every stage.

02

Give sponsors a meaningful role

A sponsor might offer a product trial, a discovery experience, a quiz, a UGC activation (a photo and social share to earn points) or another activity. Define what attendees gain and what the partner wants to observe. Match the interaction to the brand and festival setting. Taking part in an activity should not be treated as automatic permission to receive marketing communications.

03

Design a journey with clear steps

Start with a few complementary activities. Define the instructions, location, availability, validation and any points or benefits for each one. Visible progression helps people understand what remains accessible. The table below is an illustrative design framework to adapt to the venue.

04

Set validation rules and prepare the teams

Activities can use staff validation, QR codes or automatic digital validation depending on their format. Agree the conditions before the event: what counts as participation, whether repeats are allowed and how points are awarded. Test the steps with your teams. Check connectivity, access across different phones and the procedure to follow when validation fails.

05

Make rewards understandable

Explain how to progress, which conditions apply and how to redeem a benefit. Plan stock, availability and who handles fulfilment. Do not make rewards the only reason to follow the journey: activities should have value in their own right. Distinguish an earned reward from entry into a prize draw, where the outcome is uncertain.

06

Measure participation by experience and partner

Track active participants, validated interactions, completed steps and rewards redeemed. Keep unique people separate from total actions: one person may engage with several sponsors. State the denominator and measurement window for each rate. The report describes observed participation; it does not prove a sales or brand-preference effect on its own. Include staff feedback and collection limitations.

07

Connect the setup with Festico

Festico adds a digital layer to physical experiences: discovery, participation, validation, progression and rewards. Operations combine the staff platform and AdArena, configured and used by the Festico team. Activities, rules and reporting are defined for the setting. The aim is to connect the moments people experience and make participation easier for teams and partners to understand.
